TREX Event Policies:



The following policies and conditions apply to all TREX events, both online and in person. As a condition of registration, you will be required to acknowledge and accept the TREX policies and conditions contained herein. TREX has established a confidential reporting system for all TREX event participants to raise concerns about possible unethical or inappropriate behavior within our community. When at an TREX event, you may contact any TREX staff with concerns. If you feel that you are in immediate danger, please dial the local emergency number for police intervention.

Health & Wellness:

Any public space where other people are present holds an inherent risk of exposure to COVID-19 and other communicable diseases. By attending this event, I agree to voluntarily assume all risk related to exposure and agree to not hold TREX EVENT or any of their affiliates including partners and sponsors, directors, officers, employees, agents, contractors, volunteers, or sponsored venues liable for illness. I will take necessary precautions while at the event including, but not limited to, engaging in appropriate social distancing, wearing a mask in public areas when not consuming food or beverage if required, minimizing face touching, frequently washing hands, and avoiding risky environments such as overcrowded bars or restaurants. I agree to not attend any TREX EVENT platform if I feel ill or had recent exposure to a COVID-19 case. The team at TREX will work hard to ensure you are provided with updated information as per the regional / country guidelines & policies at the time.


Anti-harassment policy:

It is TREX EVENT policy that all employees, volunteers, and participants are entitled to respectful treatment. Any form of bullying, discrimination, harassment, sexual or otherwise, is unacceptable and will not be tolerated. This policy applies to all locations and situations where TREX EVENT business is conducted and to all TREX EVENT-sponsored activities and events.

Attendee registration and admission policies:

TREX EVENT, or their officially designated event management, in their sole discretion, reserves the right to accept or decline an individual's registration for an event. Further, TREX EVENT, or event management, reserves the right to prohibit entry of or to remove any individual whether registered or not, be they attendees, exhibitors, representatives, or vendors, whose conduct is not in keeping with the character and purpose of the event. Without limiting the foregoing, TREX EVENT and event management reserve the right to remove or refuse entry to anyone who has registered or gained access under false pretenses, provided false information, or for any other reason whatsoever that they deem is cause under the circumstances.

Capture and use of a person's image:

By registering for an TREX EVENT event, you grant full permission to TREX EVENT to capture, store, use, and/or reproduce your image or likeness, including incidental capture of any individuals in your household or workplace, by any audio and/or visual recording technique and create derivative works of these images and recordings in any TREX EVENT media now known or later developed, for any legitimate TREX EVENT purpose. By registering for an TREX EVENT event, you waive any right to inspect or approve the use of the images or recordings or of any written copy. You also waive any right to royalties or other compensation arising from or related to the use of the images, recordings, or materials. By registering, you release, defend, indemnify, and hold harmless TREX EVENT from and against any claims, damages, or liability arising from or related to the use of the images, recordings or materials, including but not limited to claims of defamation, invasion of privacy, or rights of publicity or copyright infringement, or any misuse, distortion, blurring, alteration, optical illusion, or use in composite form that may occur or be produced in taking, processing, reduction, or production of the finished product, its publication or distribution.

Identification Requirement:


To verify registered participants and provide a measure of security, TREX EVENT will ask attendees to present a government-issued photo identification at registration to collect registration materials. Individuals are not allowed to pick up badges for other attendees. Further, attendees may not have some other person participate in their place at any conference-related activity. Such other individuals will be required to register on their own behalf to participate. For online events, TREX EVENT requires individuals to register with their legal identity.

No smoking policy:


Attendees will observe all non-smoking regulations that are publicly posted by the facilities used by the event.                                



Online Commenting policy:

TREX EVENT moderates all comments posted in an online event. We encourage robust discussion, the exchange of scientific ideas, and the sharing of multiple, diverse perspectives. We expect the discussion to be consistent with the norms of scholarly research community interactions at events. Online event participants should report any comments or content that falls short of those community norms. We will remove comments, content, or people that are considered inappropriate by TREX EVENT standards or that:
are defamatory, libelous, obscene, indecent, abusive, or threatening to others
infringe the copyright, trademark, or other rights of a third party
upload viruses or are a cybersecurity hazard
are off topic or inappropriately commercial in nature
are in violation of any applicable laws or regulations

Recording policy:

Conferences, courses, and poster sessions: For copyright reasons, recordings of any kind are prohibited without prior written consent of the presenter or instructor. Attendees may not capture or use materials presented in any meeting/course room or in course notes on display without written permission. Consent forms are available at speaker check-in, TREX EVENT registration, or from TREX EVENT online event hosts. Individuals not complying with this policy will be asked to leave a given session and/or asked to surrender their recording media. Refusal to comply with such requests is grounds for expulsion from the event.

Exhibition hall:

Recordings of any kind are prohibited without explicit permission from on-site company representatives. Individuals not complying with this policy will be asked to surrender their recording media and to leave the exhibition hall. Refusal to comply with such requests is grounds for expulsion from the event.

Registration, payment & cancellation policies


1.1. The Organizer of the Physical/Virtual Event outlined above (Event Details) shall prepare and hold the Summit on the outlined above date.
2. Form of Participation. Rights and Obligations of the Participant
2.1. Participant is obligated to pay participation fee chosen above.
2.2. The cost of transfer to the place of the event and the accommodation is not included in the cost.
2.3. The Participant shall pay the Organizer 100% of the participation fee within five business days of the proforma invoice date.
3. Summit Cancellation
3.1. Cancellations must be received in writing no less than 3 weeks prior to the start of the conference; a full credit voucher towards a future TREX Event conference / Summit will be issued.
3.2. Any cancellation received less than 3 weeks prior to the start of the event shall be deemed to be a breach of this contract by the client, and accordingly, no credit will be given and the full fee is payable.
3.3. If for any reason the conference has been amended, cancelled or postponed, TREX Event reserves the right to transfer this booking in a form of a credit voucher, to another conference organized by TREX Event, to be held in the following twelve months.
3.4. TREX Event will not be responsible for covering airfare, hotel or other costs incurred by registrants, in the event that TREX Event cancels or postpones the event in line with the above timelines
4. Force Majeure
4.1. In case of force majeure the Organizer is relieved of all obligations
4.2. Force Majeure includes any circumstances beyond the will of the Organizers
5. Term of the Agreement and Order of Termination
5.1. The Agreement has been executed in two original copies in English language, one copy for each Party. Both copies are equally valid.

Terms of Services:

The Organizer has an obligation to use all reasonable fair and just means to achieve the desired result. The Organizer undertakes to do his best to communicate to all stakeholders as expeditiously as possible, the list of participants expected at the event. The Organizer retains the right to change the program of the event. The Organizer shall inform the Sponsors, Guests of such a circumstance as early as possible. The Organizer shall inform the Guest of the type of equipment available for the meetings, and of the sales aids. The Organizer retains the right to change the venue/platform of the meeting and/or to cancel the event by written notification to the Guest

Privacy Policy:

Data Processing Consent for TREX Event. We are committed to protecting the privacy of all personal data that event participants provide us. The following statements describe what we do with data and how long we store it. This ensures participants are fully informed prior to submitting personal information for the event.

Why are we processing personal data?
We ask for personal data to facilitate participants involvement in TREX Event events. Participants will be asked to consent to providing data before they submit it. No third party suppliers that may have access to participant’s personal data. Participant’s data may be shared with other logistical organisations and event partners in order to deliver the event. Only data required to undertake their specific role will be made available to them. If any data is shared with any specific third parties the same will be published on the event, the same would be showcase prior to participant consent.

How long will we store personal data?
Personal data will be retained by us for up to 36 months after the conclusion of the event. After this, your data will be stored only for purposes of communications regarding future events being organised by the host entity. The right to inquire about personal data? Participants retain the right to ask TREX Event about personal data at any time.

Collection of your information: We collect both personally-identifiable information or personal data and non-personally. identifiable information from you. Often, you choose what information to provide to us, but, sometimes, we may require certain information for you to use and for us to provide the Services. Specifically, we collect the following:
Registration & Account Set Up collected via the Web site: In order to register you as a Customer, provide you with support, or participate in an event, contest, etc. we will collect personal data, which may include your full name; job title; telephone number; email address; mailing address of company; tax payer identification number; name of organization; and referring Web page via a cookie.You are not required to provide us with this information to sign up, but we will need it to provide certain services. For example, in order to provide a demo we would need your contact information. In order to sign you as a Customer, we would need your corporate details and invoicing information and the contact information for your account administrators.
